Tips to find wedding planner for intimate Events

He was easily the toughest client I’ve ever had.

Uncle Ali hired me as the wedding planner for his youngest daughter’s wedding after one of my previous clients shared my contact with him. From the very beginning, he came prepared—with a detailed plan for how he wanted the house decorated for an entire week of events, leading up to the wedding day.

It was 2021, during COVID, so the wedding was intentionally intimate. The venue was a small but beautiful garden lawn, and his vision was to transform it into a dreamy “fairy garden” filled with lilies. The bride, Mishi, was very quiet and easy-going—she only gave me a few dos and don’ts and trusted me with the rest.

I’ve always loved challenges, and this one was no exception. The space was tight, and one of our biggest hurdles was creating a ceiling setup without using a full truss system—because the pillars would have taken up too much space. Instead, we got creative: we used the trees as structural support and installed a partial truss over only half the area. In the end, the space transformed beautifully soft lighting, roses, and lilies hanging delicately from the trees created exactly the magical garden we had envisioned.

Despite all this, he remained my toughest client. He refused to pay the usual upfront 50%, even though I came recommended. Still, I accepted the challenge—not just to complete the project, but to earn his trust and hopefully gain a repeat client.

A few hours before the main event, while I was reviewing the final details, he called me into the drawing room. I was honestly nervous—I thought something had gone wrong or that he wasn’t satisfied.

But when I walked in, he looked at me thoughtfully… and then smiled.

He said, “You’re doing an amazing job at such a young age. Beyond the work itself, I’ve been watching your dedication—the way you and your team have been working. It shows your passion. You proved me wrong. I was worried that, just to save some money, I was hiring a new wedding planner… a young girl with less experience in UAE wedding planning —for my daughter’s wedding, where my family and friends would be present. It was a matter of my respect. But you made me proud of my choice of hiring a professional planner like you”

That moment made everything worth it.

How to find a wedding planner in Dubai for your Destination Wedding.

Sarah & Joao’s Wedding

In April 2024, Keli reached out to me on Instagram while searching for a Destination wedding planner in Dubai for her 18-year-old daughter, Sara.

At first, we exchanged a few messages, but there was a language barrier—Keli wasn’t very comfortable with English because she was from Brazil. So, we scheduled a call, and that’s when Sara joined us along with her fiancé and mother-in-law. Sara became the bridge between us, translating her mother’s vision with so much love and care. It was clear from the beginning—this wedding wasn’t just important; it was her mother’s dream.

After a few meetings they booked me as their wedding planner and full day event coordination, and we started working on venue hunting we shortlisted the perfect venue that matched Keli’s vision: a beautiful skyline view with the Burj in the background. We chose the Palace Downtown Hotel, and it couldn’t have been more perfect.

The wedding was intimate, with only close family members. Every detail—from the décor to the wedding favors—reflected a mother’s love for her daughter.

They arrived in Dubai a week before the wedding, and Keli had a special request: customized Dubai-famous ice cream bars placed in every room, with the names “Sara & Joao.” Of course, I made it happen.

Although we had been in constant contact through calls and WhatsApp for months, meeting them in person felt like reconnecting with people I already knew not only as wedding planner even as a friend to bride’s mother who hardly can understand English. I walked them through the venue, showing the terrace, the floral concepts, and helping them visualize the entire setup.

Finally, the big day arrived Dec 4, 2024.

Unlike many brides or families, they were calm—because we had spent nearly a year planning every single detail together.

While they were getting ready, I was with my team, finalizing the floral arrangements. I’ll admit—I was a little nervous. I had added subtle colors to the flowers, even though Keli initially wanted something more minimal. But as a professional, I knew those touches would bring the setup to life.

Two hours before the ceremony, I asked her to come see everything—just in case she wanted any changes.

She walked in… and started crying.

Those weren’t tears of worry, but of pure joy. She told me it was more beautiful than she had ever imagined.

And in that moment, I knew—that’s exactly why I do what I do.

With Sara & Joao’s journey, I not only planned a beautiful wedding—but I also met a beautiful soul who became a dearest friend, Cris Keli.

My advice to every couple and family: trust your wedding planner—but choose wisely.

Look for someone with real, hands-on experience. Take the time to clearly explain your vision, your likes, and your dislikes. Once you’ve found the right planner, trust them to bring your ideas to life in the best possible way.

Wedding planning is an art that comes from the heart—it’s not something everyone can do. These days, many people claim to be planners, but without the right experience, things can quickly go wrong on your big day.

Ekta & Rahul

Our First Destination Wedding

Ekta & Rahul, a Pakistan-based couple, chose to celebrate their love amidst the serene beauty of the mountains. Their dream destination wedding took place at PC Bhurban, offering breathtaking views of the Kashmir Valley along with luxurious accommodations. The celebration unfolded over three unforgettable days, featuring Haldi, Sangeet, and Pheras.

The Haldi ceremony was a magical sundowner set in the heart of the mountains. Surrounded by blooming spring flowers in March, the landscaped lawn created a picturesque setting. The décor was kept minimal yet elegant, with soft hues of yellow and delicate rosemary flowers enhancing the natural beauty. To add a playful touch, shower tubs were arranged for the bride and groom, making the ceremony lively and fun.

The Sangeet night was hosted indoors with a sophisticated dark theme. The ambiance was elevated with warm lighting, glowing candles, and an intimate, celebratory vibe that carried the festivities late into the night.

For the Pheras, a rustic amphitheatre was transformed into a dreamy mandap setting. The mandap was adorned with fresh flowers in shades of pink, creating a romantic atmosphere. Guests were seated in a cozy floor arrangement, allowing everyone to feel closely connected to the ceremony.

This wedding was a beautiful blend of nature, intimacy, and thoughtful design—where every detail complemented the grandeur of the mountains rather than overpowering it. Ekta & Rahul’s celebration wasn’t just about rituals, but about creating unforgettable experiences in a setting that felt both majestic and personal. It truly marked a special milestone for us, setting the tone for many more destination weddings to come.
